Let’s talk the right communication being online
With all the communication going online, we have almost lost the personal touch to our conversations. The body language, the expressions and intention of a message can be misunderstood causing some unknown grudges.
This article will focus on some tips and tricks to communicate — the right way (nodding my head :D) :
- Be polite while drafting the message, currently we are living in situation where, maybe, we want to go for a long vacation or escape the present life. So much to process at any given time. Stress increases and people can have a break down. Be courteous in your message. Respect others!
- Read and re-read — Generally when you reply to people, you can just loose yourself (if its a harsh response). Just get into others shoes and think how would they feel if they read your response. Is it gentle enough to not hurt others feeling/its not a personal attack.
- If angry/annoyed — DO NOT REPLY (No further explanation required!!)
- Mark your boundaries — Do not interfere in personal space. Reiterate to yourself that work is a part of life and not life. If people have their status as online or away on any application which you use to DM, think twice to ping them. Wait for them to come back online, if that is not doable send them and email. Just don’t get on their nerves.
- Try to use emojis/GIFs wherever you can — not professional but yes can give a personal touch to your message and it lighten the mood. Personal experience, most of my conversation with my manager is GIF based. It just gives a reason to laugh/smile more. Being serious at all the times, won’t be helpful(I know, you work all the time!!).
- Be sensitive — Remember, few words when spoken can mean entirely different when typed out due to various factors such as tone of voice, body language. Be mindful of how “people read”.
- Remember, being empathetic is not a weakness — When I say empathy, I mean be understanding. Understand if someone is reacting unusual today doesn’t mean that you also have to react the same way. It could be because of the struggles that are facing which you are unaware of. Be you! The best you!!
- Understand when your conversation is becoming a conflict and stop at that moment—Instead of continuing the conversation, breathe and think how will it affect after you are done. As the saying goes, it is better to be safe than sorry.
- Take your time to reply back and do not get offended if people reply late to non-urgent and less important matters — Everyone is occupied with just not office responsibility, which includes typing time (yes it is a thing!), meeting time and so forth, but also with household responsibilities as well, since you are breathing and living there more than any other place. So give others time too and just go with the flow.
- Reply to all the parts of the question(s) asked— This will not only make you efficient but also save you from the hassle of going back and forth which in turn help you to manage time and will increase reliability.
